Securing Your Reservation
Escorted Land Tours:

How to Book: Call our reservation desk at 1-888-331-9995 to make a reservation. A deposit of 15% or $350 of the total tour cost whichever is higher is required to secure your reservation. Deposits may be made by check or credit card (MasterCard, Visa or Discover). Reservations are on a first-come, first-served basis.
Request made by letter, email or facsimile must state sender's name and address together with fax number if available. When a request is accepted, Asia Travel Service will confirm the service booking stating the specifications of the relevant requirements which are to be fulfilled by the client. Any failure in the fulfillment of the requirements may result in the automatic cancellation of the reservation.

Making Final Payment

Final payment is due by 50 days prior to departure, depending upon the program. A signature and a filled out credit card authorization is required for all deposits made by credit card.

(It’s best to refer to your invoice for your specific program’s final payment due date). Personal Checks, Wire Transfers, Credit Cards, including Visa, MasterCard, American Express, or Discover, are accepted for final payment. Reservations may be put on a waitlist or canceled by Asia Travel Service if payment is not received by the final payment due date. In this situation, cancellation charges will apply.

Prices are in U.S. Dollars, per person, based on double occupancy, unless noted.

Departure taxes, surcharges, and government fees may not be part of the tour price and will be collected from each passenger upon arrival and/or departure from the applicable country.

Tour Conditions

No revisions of the printed itinerary or the “included” section are anticipated; however, Asia Travel Service, its agents, associates and partners reserve the right to make changes at any time and for any reason, with or without notice, and Asia Travel Service and its affiliates and partners shall not be liable for any loss whatsoever to passengers by reason of such cancellation, substitution or changes. All fares as well as ship and train schedules, port calls, hours of arrival and departure, special programs, and guest lecture series (if applicable), are subject to change without prior notice. Asia Travel Service and its agents, associates and partners shall not be required to refund any portion of the fare or make any other compensation under these circumstances. Asia Travel Service, its affiliates and partners cannot be held responsible for penalties assessed by air carriers that may result due to operational and /or itinerary changes, regardless if Asia Travel Service its agents, associates and partners make the flight arrangements. Any additional expenses resulting from the above will be paid by the individual passenger. Asia Travel Service and its agents, associates and partners reserve the right to substitute a similar category for those listed in this brochure. Asia Travel Service and its agents, associates and partners reserve the right to increase the tour price in the event of cost increases due to changes in air fares, changes in the itinerary, currency fluctuations or fuel surcharges and such increase are to be paid to Asia Travel Service and its agents, associates and partners by the tour participant upon notice to the tour participant of such increases. 

When issued, the air tickets traveler / passenger shall constitute the sole contract between the airline or charter company concerned and the purchaser of these. Please note that advertised air rates can change before ticketing. The airlines and other transportation companies concerned are not to be held responsible for any act, omission, or events during the time passengers are not on board their conveyances.

By forwarding of deposit or final payment by either check or credit card, the passenger certifies that he/she does not have any mental, physical or other condition of disability that would create a hazard for him / herself or other passengers and accepts the terms of this contract.

Asia Travel Service, its agents, associates and partners reserve the right to decline, retention and acceptance of any person as a tour member participant should such a person whose health condition or mental condition, physical infirmity or attitude may jeopardize the operation of the tour or the rights, welfare, or enjoyment of other participants or any condition which makes him/her physically unfit for long trips due to mental illness, heart disease, serious chronic or contagious illness, physical handicaps, pregnancy, senility of infirmity.

On certain dates including, but not limited to religious holidays and national celebrations, or public holidays some monuments and sites may be closed. On these occasions, tour itineraries may be amended to reflect these closures.

Tour prices

Tour price is quoted in US dollars and based on tariffs and rates of exchange between US dollars and foreign currencies in effect from time to time, all prices are subject to change due to exchange rate fluctuation, or other factors. United States departure, airport taxes and Customs fees in effect at time of ticketing and all foreign airport taxes are not included.

The price includes only those services agreed upon between Asia Travel Service Tours and the tour coordinator during the itinerary development process.

Tour prices normally includes all transportation within your destination (any airline tickets, bus and train transportation), meals including non alcoholic drinks as specified in the itinerary per day except those specifically excluded in the itinerary, (voluntary non-usage of meals are non- refundable) and lodging, admissions to all parks and sightseeing areas as specified in the itinerary and except those specifically excluded from the itinerary. Tour price may include international airfare if mentioned otherwise most packages and tours are land only.
Because of the regulations of the local government of Tibet, only tour groups are approved with the special permit to tour in the area. Minimum five passengers are regarded as a group. Asia Travel Service reserves the right to assign the individual passenger to a particular group or cancel it when it lacks enough participants.

All prices are subject to change due to exchange rate fluctuation, or other factors.

International flights

Air transportation is via the designated airlines in the itinerary as specified.

International flights originating in the US and domestic US connecting flights are purchased by Asia Travel Service on behalf of the tour participants on request and are part of  the total package price and issued as such by the airlines. Once transportation begins no refunds will be made and no unused coupon portion of the ticket can be used for future travel or towards the purchase of another fare.

Hotels Accommodations

All hotel arrangements and stays will be provided as mentioned or in hotels of similar category. All hotel rooms are assigned as run-of-the-house standard rooms on twin sharing or 2 people sharing basis. Asia Travel Service will endeavor to always provide specified hotels at all times, but in certain instances wherein international congresses, conventions, conferences or any other events are taking place these properties maybe unavailable during such times. Right is reserved to substitute hotels for those specified in the itinerary.

Although available at most 4 and 5 star hotels, conditions and use of air-conditioning abroad differs greatly from the United States.

Tour dates

All tours starting and ending dates and times are as specified in the itinerary and agreed upon between Asia Travel Service and the tour coordinator. All tours begin when the participants arrive at the gateway arrival airport and clear immigration and customs, and ends when the participants arrive at the gateway departure airport

Transfers and Sightseeing

All transfers and sightseeing are by motor-coach, car or other conveyance. Transfers to and from airports, hotels and piers and rails stations will be provided only for tour members utilizing the airspace reserved for the group. Sightseeing tours are as described in the tour itineraries. Inside China, sightseeing is restricted to the sightseeing points covered by the tour package price included in the tour itinerary. Asia Travel Service reserves the right to assign individual passengers departing from non-designated gateways, and groups falling below the minimum requirement of 15 passengers, a seat on transportation not necessarily used for the sole purpose of Asia Travel Service. Land only passengers and travelers will be responsible for their own transfers between airports, hotels and piers or rail stations.

Travel documents

Each participant is responsible for insuring they have a valid passport, visa and obtaining proper documentation prior to their trip. Passengers must be in possession of a passport with a validity of more than six months after their last travel date. It is the passenger’s responsibility to check if visa is required for the countries they plan to visit. Asia Travel Service provides an optional visa application service but cannot guarantee that a visa will be obtained. If the embassy or consulate of the destination country declines to grant a visa to a participant for any reason and as a result the participant is unable to join the tour, Asia Travel Service will treat the situation as a cancellation by the participant and cancellation fees will apply as indicated under 'Cancellations'. Asia Travel Service will not be responsible for resulting land or air arrangements due to improper documentation.

Passengers are responsible to ensure that Asia Travel Service is provided with correctly spelled name, address, email and fax data for all passengers. Names printed on the invoice must exactly match the first and last name written in their passport (middle names or initials are not needed). Asia Travel Service will not be responsible for passengers who do not receive an invoice or documents due to inaccurate information and denial of boarding.

Health and fitness

All our tours require that participants be in good physical and mental health and that participants are responsible for assessing their fitness for a particular tour.

Immunizations

Participants are expected to check with their health-care providers and/or the Center for Disease Control for information regarding immunization requirement or recommendations for the countries they will be visiting. The Centers for Disease Control website is at http://www.cdc.gov/travel/destinat.htm.

Photographs

For escorted tours, Asia Travel Service tour directors will occasionally take photographs of tour participants either as individuals or as a group. On some tours, the tour director will also act as a tour photographer taking photographs throughout the tour. By joining a tour, participants consent to the use of their likeness in Asia Travel Service; publications, whether electronic or print, unless they request otherwise in writing.

Terms & conditions - Scheduled tours

Cancellation

All Cancellations must be made in writing to Asia Travel Service., and date of receipt of all or any cancellation will determine the penalties assessed.  The penalties are as follows:

After Confirmation and up to 90 days prior to departure $350.00 per person

Cancellation 90-45 days prior to departure $400.00 per person

Cancellation 44-16 days prior to departure $450.00 per person

Cancellation 3 days or less or no show 100% of the tour cost.

Additional cancellation charges will apply in accordance with the individual airlines, hotels and cruise lines involved. All voluntary alteration or revisions to itineraries will incur a $100 handling charge per request.

Asia Travel Service reserves the right to cancel any tour prior to departure for any reason including insufficient number of travelers or participants. Should this ever happen refunds will be made without obligation.

No refunds will be made to those participants who break the journey from the planned itinerary, regardless of any portions that may remain unused in the itinerary.

Refund will not be made if passengers change hotels and/or services en-route.

Travel insurance and Visa handling fee is nonrefundable, if purchased through Asia Travel Service.

Refunds will not be made for complimentary accommodations and services provided by the airline. A change of destination constitutes a cancellation, and will be subject to full cancellation fees.

Asia Travel Service Strongly recommends trip cancellation and travel insurance, for all its tour programs and itineraries.

What is not Included, Tips and Taxes

Charges for obtaining passports or visas, medical travel or any kind of insurance and airport departure taxes, Asian domestic airport taxes and additional city development/construction fees imposed by the local government are not included in the tour price and will be collected from each participant before departure at each airport. Sightseeing tours and excursions not mentioned or included in itineraries. Any and all other items of personal nature i.e. laundry, phone calls, snacks, purchases and anything not specifically included. Tips to restaurant and hotel waiters, chambermaids and porters are not included. The customary end-of-the-tour gratuity to tour managers and tips to local guides and drivers are not included.  

Acceptance of terms: Upon making reservations by sending a deposit or full payment by either check or credit card  for all and or any  individual/s and tour participant/s on whose behalf the reservations are made constitutes agreement and indicates acceptance of all stated Asia Travel Service, its agents, associates and partners’ terms and conditions as specified here.

Responsibility

Asia Travel Service acts only as agent for the tour participants in arranging all aspects of the tour, including but not limited to transportation by any means, lodging, meals and sightseeing. All the travel arrangements included in this tour are made on behalf of participants with the express condition that Asia Travel Service, its agents, associates and partners are not liable in whole or in part and do not take any responsibility for any delays or changed departure or arrival, missed carrier connections, accidents, sickness, injury or death to person, damages, baggage losses, delays due to weather, act of god, acts of governments or authorities wars, strikes, criminal acts committed by third parties, theft, force majeure, quarantine, pilferage or to faults or defaults of any company used or responsible for any acts or omissions by any person or entity, including without limitation injury, damage, failure, or negligence of any nature howsoever caused in connection with any accommodations, restaurant, transportation or other services, for any substitution of hotels or of common carrier equipment beyond our control, with or without notice, or for any additional expenses occasioned thereby, loss or any mishap resulting from acts or omissions of any third party engaged in providing services for the tour. No refund will be made for any unused portion of the tour due to these causes or voluntary cancellations.

Complaints: The stated mission of Asia Travel Service is to offer the very best in tours and vacations packages travel around the globe for our members. However, if you have a complaint during your journey, please bring it to the attention to your tour leader or tour advisor as quickly as you can. Should the problem remain unsolved, please let us know the details of any problems or unsolved issues or if you have any suggestions for us please do so by sending us a message here and we will promptly resolve the issue. Our desire is to set things right. We cannot accept liability for any claims not made to us in writing within 30 days of completion of your journey. We also cannot tender any refunds for any reason outside the terms set forth above. All claims will be settled by arbitration in New York, New York.
